One account, several workspaces

You use one login email in Notion but switch between several workspaces. When an invoice is missing, start with their names. A paid plan applies to a particular workspace; it does not automatically cover every workspace in your account.

Prepare the workspace name, the company the purchase belongs to and the period you need. If you are collecting documents for several workspaces, create a separate item for each.

Contact the owner of the right workspace

Notion says workspace owners can view and manage plans and billing. If you cannot see Billing in settings, ask the owner for the document instead of searching other accounts at random.

The owner opens Settings → Billing in the correct workspace. The displayed name, plan and period help confirm they are dealing with the purchase you need.

Membership or permission to edit pages does not replace this check. In your request, name the workspace rather than simply asking for “the invoice for my Notion”.

Distinguish upcoming charges from an issued document

Notion’s help describes View invoice for upcoming billing too. When you open it, check what you are actually viewing: an upcoming amount or an issued document for the required period.

To finish the handover, ask for the original issued document. Check the customer, period, number and currency. If the owner cannot locate the corresponding historical document, contact Notion support. Do not label a screenshot of an upcoming charge as a found invoice.

An empty inbox also does not prove no document was issued. Notion’s current FAQ says it does not email invoices and directs you to settings.

Clarify which purchases belong in the handover

Notion distinguishes separate invoices for the plan and Notion credits. If your company buys both, check both kinds of documents.

In a hypothetical example, David uses a personal workspace and company A’s paid workspace. For the accountant, he needs the company plan for September and a credit purchase. He asks company A’s owner for both documents and gives each its own row. He does not add the personal workspace document to this handover.

Write a request that can be acted on

Send the owner: “Please send the issued document for company A’s workspace for the September period, and separately the document for the specified credit purchase. I need the original documents, rather than just a preview of the next bill.”

Open the files you receive and pass them on with the workspace name and purchase type. Leave any missing item marked “owner following up with support”. Your accountant can then see which workspace the document belongs to and what is still missing without searching your entire account.
