Identify the service behind the payment
You can see an OpenAI payment on your statement, but cannot find its document in ChatGPT. First establish what it paid for: a personal ChatGPT subscription, a company workspace or API usage by an application. Then open the corresponding history.
ChatGPT and the API have separate billing systems. Using the same email address to sign in therefore does not mean all documents are in one place.
ChatGPT
Find ChatGPT documents by account and purchase channel. Personal subscriptions, company workspaces, Apple and Google Play.
OpenAI API
Find OpenAI API documents in the right API Platform organization. Distinguish credit purchases, automatic payments and contract invoices.
Match the payment to the service and actual period
In a hypothetical example, Eva has a personal ChatGPT subscription while a company application also uses the API. Eva downloads a document from her account, but that does not cover the company application. She asks the owner of its API organization for those documents.
She records two items in her overview: “ChatGPT – specific account and period” and “API – specific organization and period or credit purchase”. For each, she saves the original document actually available and identifies its type. She does not rename an API usage report as an invoice.
When comparing records, use the period stated on the document. A monthly self-serve ChatGPT subscription is charged according to the subscription date; a contract account may follow a different arrangement.
