Look for your subscription document in Billing

You pay a subscription to use a paid Calendly plan. If you pay Calendly directly, download the document from Settings → Billing, the billing settings. Payments → Invoices is for invoices you issue to your clients through Calendly.

The distinction is who pays whom. For a subscription, you or your business are Calendly’s customer. For a paid consultation, the customer is the person paying you. Their payment confirmation or meeting booking does not provide the document for your use of the service.

Fictional example: Lucie collects consultation payments through Calendly and also pays for its annual plan. Her accountant needs the document for that annual subscription. Lucie starts in Billing; the list of invoices to her clients in Payments serves a different purpose.

Check the account and who has billing access

Note the paid account’s login email and the period you need the document for. The subscription belongs to an account or, when used by a team, an organisation. If your personal and business accounts use different email addresses, each paid account is billed separately. Check with the colleague who ordered the service which account the payment belongs to.

Owner and Admin, the organisation’s owner and administrator, have billing access. Group admin, Team manager and a regular User do not. Managing team meetings alone is therefore not enough. If you cannot open Billing or the page directs you to another user, ask the owner or administrator to download the document and send you the file. They do not need to change your role or share their login to do this.

Email offers another route: by default, Calendly sends invoices to the organisation owner’s login email. An added billing contact can receive them too. Ask the appropriate recipient to search their inbox for Calendly around the payment date. You need the document itself from the message they find. If it contains only a link, download the file in Billing; if you lack access, ask the owner or administrator to download it and send it to you.

Download the document for the specific transaction

Sign in to the paid account in your browser with the Owner or Admin role, then follow these steps:

Calendly: official instructions for downloading your document →

  1. Open Settings → Billing.
  2. Select View transaction history.
  3. Find the transaction you need and select View Invoice or the Invoice icon beside it. The document downloads to your computer.

Open the downloaded file. Compare the date, amount, currency, customer and subscription description with the payment you are tracing. Check the billing period shown too. For an annual plan, look for the document for the annual payment. If you changed the plan or number of seats during the year, check the other transactions as well.

The download guide uses invoice, while the permissions overview also uses receipt, meaning a payment receipt. Give your accountant the original downloaded document with its details and its own label. A transaction-history entry or a screenshot of the bank payment is not that file.

Ask the billing team for a missing document

If you are in the right account and have access to Billing but the document is missing, ask Calendly support for a copy from the billing team. Include the account’s login email, the period you need and any known payment date, amount and currency. If you are unsure which of your accounts was billed, also ask them to match the payment to the correct email.

On Contact support, use the form for an email response. Put your contact address in Email, your request’s subject in Subject and its text in Description. You can find both the subject and text in the template at the end of this article. Choose the appropriate Issue type and submit the form. If you lack billing access, ask the owner or administrator to handle the request. If you have an invoice-billing arrangement and an assigned Customer Success Manager, you can also contact them.

If you need an address or VAT number added to an already issued document, ask the billing team and identify that document by its number. Details added in Settings → Billing appear on new invoices. They do not change an older document.

For an Apple purchase, look for Apple’s document

If you bought the subscription in the Calendly app on an iPhone or iPad through the Apple App Store, Apple manages that payment. This does not apply automatically to everyone who uses the mobile app; what matters is where the subscription was bought.

Look for Apple’s receipt in the inbox associated with the Apple Account used for the purchase. Check that it is for Calendly and matches the payment you are tracing.

If you first need to identify the purchase, open reportaproblem.apple.com. Sign in to the Apple Account used to buy it and search for the amount. Purchase history helps identify the purchase; keep looking in your email for the original receipt.

If you cannot find the receipt in your inbox, contact Apple Support. Provide the purchase details you know and ask for help obtaining the document.

A template for requesting your subscription document

Use this template for a subscription paid directly to Calendly. You can send the message to the account owner or administrator, or paste its text into the support form. Fill in the details you know. If a colleague obtains the document, ask them to send the file to the agreed email address so you can open it without account access.

Fill in the paid account’s login email, the period and any payment details you know. Write “unknown” for anything you do not know. Do not send a password or a full payment card number.
