Start with the whole order

Your Amazon.de Business order has arrived and the payment has gone through. But you have only one document among your records, and it is unclear whether it covers the entire purchase. Start with the list of items and sellers in that particular order. It shows what you still need to find.

This procedure concerns purchases through Amazon.de Business. For another marketplace or account, check its own document options. The aim is not to guess how many invoices an order “must” have, but to match each document you obtain to the items it actually covers.

Open the order and mark what you already have

In the relevant purchasing account, open the Meine Bestellungen history and find the order number. Select Rechnung for the order. Amazon Business states that an invoice can be downloaded for most items once the seller uploads it. Assess availability for the particular purchase.

Alongside the order number, record each item, the seller shown in the details and the status “document obtained” or “document missing”. Open the document after downloading it. If it concerns only part of the purchase, mark only that part as complete.

Check the contents, not the number of files

One document may cover several items; another may cover just one part of the order. Do not judge completeness simply because the folder contains a PDF. Compare the purchase description, customer, document number and amounts stated by the supplier with your item list.

In a hypothetical example, Hana orders office equipment from two sellers. The first downloaded document contains only the lamp. Her overview therefore has two entries: “lamp — document saved” and “stand — Hana is finding the document”. She does not yet mark the whole order as complete.

Keep the original files intact. Use their actual numbers or names to connect them to your list. Do not create your own “summary invoice” by copying the order into a new PDF.

Request the missing document for the specific item

If the document you need cannot be downloaded under Rechnung, choose Rechnung anfordern and contact the seller. If that option is absent, use the contact for the purchase or ask Amazon support for the correct route. Your request could say: “The document for the stand from the seller shown in the details is missing for the order with the stated number. The available file contains only the lamp. Please send the corresponding original document.”

Add the order date and the customer details you need to verify. Do not send login credentials. If you have not received a reply, record the request date and the person following it up.

Give your accountant the files and a map of missing items

Attach a short message to the documents you obtained: “Order number X: document for the lamp attached; document for the stand requested and still pending.” If your accountant also needs the order or payment confirmation, add it under its actual designation.

This defines precisely what still needs to be found. The recipient can see which parts of the purchase the documents cover and which are awaiting the supplier. Several files in a single folder do not, by themselves, establish that connection.
