The stay and service fee have different records
After a work stay booked through Airbnb, you download a document and send it to your accountant. Before closing the handover, check whether it is a booking confirmation, a payment record or an invoice for Airbnb’s service fee. One does not automatically cover everything else.
Airbnb says its VAT invoice is issued where the relevant tax applies to the service fee. Availability depends on the country. Do not treat that document as an accommodation invoice without checking it.
Start with the specific booking and payment
As a guest on the website, open Trips, choose the booking and use Get receipt in the payment information. Airbnb says a link to an available service-fee invoice also appears below that fee in the confirmation email.
If the booking has several payments, check each separately. One open document may not describe every payment.
Open each document and record what it covers: the booking, part of the payment or a particular fee. Keep its original designation and file. Do not rewrite it as an “invoice for the whole stay” unless its content supports that.
A company administrator has a separate route
If the company uses Airbnb for Work, an authorized travel administrator can retrieve work-trip receipts from the company dashboard. On the website, open Profile → Company dashboard → Trips → Completed trips, choose the amount in Receipt and the relevant payment. Then select Print and save the receipt as a PDF. For multiple trips, you can search by booking confirmation code.
Instructions for travel administrators →
This does not guarantee that the overview contains every other document your accountant needs. The administrator must still check the document’s type and coverage.
Handle a missing document according to its purpose
In a hypothetical example, Michaela has a booking confirmation and a separate service-fee document. Her accountant also wants documentation for the stay itself. Michaela first shows what she already has and confirms which additional record is needed.
She then contacts the host with the booking number, dates, guest and company details for verification. Airbnb also recommends contacting the host for additional travel documentation, ideally before booking.
Information about additional documents →
She does not mark the outcome as certain in advance. If the host must check content or availability, Michaela notes the specific open item and who is following it up.
Send a document map, not an unexplained bundle
Your cover message could say: “Booking X, stay from Y to Z. I have attached the confirmation and available service-fee document. The additional stay document has been requested from the host.”
If an issued fee document has a problem, raise it with support. Airbnb warns that an issued VAT invoice cannot be modified afterwards. Keep the original file and flag the question in your message, so the recipient does not have to discover it alone.
