How you bought the subscription determines where to look

Google Workspace works and the payment has gone through, but your accountant's documents are missing an invoice. Start with how you bought the subscription. Business administration, reseller purchases and subscriptions bought on a phone may have different document histories.

Have the company name, domain or signed-in account's email address and the required period ready. These three details help the administrator distinguish the right subscription from another account using the same service.

Choose the route that matches your purchase

For a subscription managed in the Google Admin console, look for billing there. If a reseller supplies the service, ask them for the invoice. Google's instructions provide a separate route for reseller purchases.

An account created with a Gmail address does not necessarily use the same purchase channel as a business-domain subscription. If you bought Workspace through Android or iOS and have no billing options in the console, check the purchase in Google Play or Apple subscriptions.

For direct automatic billing, download the correct period

These steps apply to an account with automatic payments in the Admin console. The administrator needs billing management privileges. They open Billing → Payment accounts, select View invoices beside the relevant subscription and find the PDF by invoice number under documents. For older periods, they expand the date filter. For the matching PDF Invoice entry, they then select Download. These are the English interface labels; other languages may differ.

Google offers invoices as PDF and CSV. Do not confuse a CSV invoice with a separate transaction export: what matters is the document actually downloaded. For ordinary reading and handover, open the PDF and check the account name, invoice number and billed period.

If your account uses invoiced billing rather than automatic payments, follow its own instructions. Do not change how you pay just because its document menu looks different.

At the start of the month, distinguish missing from not yet issued

Google says each monthly invoice becomes available after the first day of the following month. The PDF can appear later than the CSV, with a delay of up to a week. An empty search for the period that has just ended therefore does not yet establish an error.

When documents become available →

In a fictional example, Pavel requests September's PDF on 2 October. The administrator can currently see only the CSV invoice. Pavel records ‘PDF awaiting issue; administrator checking’ and agrees on another check. If agreed with the accountant, he hands over the available file under its actual description; he does not rename it as a completed PDF.

A request must identify both the account and period

If you cannot find the document, you could write: ‘We are missing the Google Workspace invoice PDF for company A's domain for September. Please check the subscription, payment account and PDF availability. If a reseller or app store manages the purchase, please tell us which one.’

After downloading, open the file and keep the original document. If your accountant also needs payment details, agree on that document separately. Close the handover only when you know which document you have obtained and which period still needs follow-up.
