Where the purchase was actually made

You can see your designs in Canva, but the purchase you need to document is missing from the history. First compare the signed-in account with the account used for payment. Then check the team. Opening a design in the right team does not necessarily mean you can see all its purchases.

Have the period, paid plan or order name and the company concerned ready. For a print order, add its order number too. This lets you search for a specific purchase rather than any PDF containing Canva.

Check the account and team before searching

Canva lists a different signed-in account, a different team and purchases through Apple or Google as possible reasons for missing invoices. An order confirmation helps: use its recipient address to check the account and its purchase details to identify the channel.

Ordinary team members see documents for their own purchases. Canva says admins and people with the Brand Owner role can view all team invoices. If you do not have the relevant access, ask one of them for the specific document.

Download the original PDF for a website purchase

From the homepage, open your profile and Settings, then Orders and invoices. Find the purchase and select the invoice download. Canva lets you search by invoice number and filter by date or purchase type.

Open the downloaded PDF and check the customer, invoice number, currency and purchase details. This route covers purchases on Canva's website. For App Store or Google Play purchases, look for the document in the corresponding store.

If you are signed into the right account and the document is missing, do not randomly change other settings. Record the account, team, period and purchase type. These details let the administrator or support distinguish a missing invoice from a purchase in another history.

One person may need two different documents

In a fictional example, Martin uses a personal Canva account for private designs and company A's team for work. For the company's September handover, he is missing both the team plan invoice and a separate print order.

He therefore checks each item separately. The administrator provides the team invoice, while Martin finds his print order in the relevant account. He opens both files to confirm they concern the company and the required purchases. He does not replace the missing team document with a personal-account invoice simply because it was issued in the same month.

Close the handover purchase by purchase

You could write to the administrator: ‘Please send the invoice PDF for company A's team for September. In my signed-in account I see only my own purchases. Please check the right team and whether the plan was bought on the website or through an app store.’

When you obtain the document, send it to your accountant with a short purchase description. If one item remains unclear, list it separately as missing. ‘Plan invoice supplied; Martin is still finding the print order’ gives the recipient a much clearer picture than a vague ‘Canva sent’.
