Are you looking for your subscription document or a customer invoice?
A QuickBooks Online subscription document concerns the fee your business pays to use the service. An invoice issued to a customer records a different transaction: the customer owes you money. To find your own subscription document, start with account billing rather than sales invoices.
Hypothetical example: a business issues customer invoices in QuickBooks Online. In October, its accountant needs the document for September’s software charge. A customer invoice does not answer that request: the document must relate to the business’s subscription and payment.
These instructions use official help for UK and US QuickBooks Online accounts. The language of this article does not establish your account country or interface language. For another edition, check its own help first; do not assume identical buttons or history availability. QuickBooks Desktop, payroll and bulk billing by accountancy firms are outside this guide.

Establish who bills the subscription
With the person who ordered the service, confirm the business and account behind the charge, the account country or edition and the original purchase channel. The original order or subscription details may help. Using the mobile app does not mean the subscription was bought through Apple or Google.
Direct Intuit billing, UK or US account: continue to payment history below. Someone with the appropriate billing access retrieves the file.
Billed through an accountancy firm: start with your contact there. Confirm how the subscription is paid and who should supply the document for the charge. Instructions for a business paying Intuit itself may not fit this arrangement.
Bought through Apple App Store or Google Play: UK help directs subscription management to the original purchase provider. Ask the person who made the purchase to find the document there. This guide does not cover the exact download procedure in either store.
Former French account: do not automatically apply current UK or US menus. Intuit ended access to the local French product on 31 December 2023 and read-only access on 31 March 2024. Check whether this is that former account or another foreign edition. For a former French account, check documents already saved and any help options on the official French page; restored access or an older document cannot be promised.

Open payment history for direct billing
For a UK QuickBooks Online account paid directly to Intuit, the documented route is below; US help confirms the same history route. Sign in to the correct business account. Interface labels follow the verified English help.
Intuit US: payment history and Accountant access →
Intuit US: billing and invoice PDF export →
Intuit UK: subscriptions, billing and app-store purchases →
- Open Settings.
- Select Subscriptions and billing.
- Choose View payment history and find the relevant charge.
- For the US edition, the download help specifies choosing the invoice, then Select invoice → Export to PDF. Open the downloaded file.

The UK history route is verified, but these exact PDF export labels are US-only. Use the controls shown for your document. If you cannot obtain the file, ask an authorised billing administrator or Intuit support for a copy; do not create a replacement in the customer invoice area.
If you cannot enter billing at all, speak to the person managing the account. If you can see history but the period is missing, use the missing-document section below. These are different problems.
Accounting access may not include subscription documents
For the US edition, Intuit explicitly states that an Accountant user cannot download the billing PDF of a client who pays their own subscription. Access to bookkeeping data does not establish access to subscription documents.
If you are that business’s accountant, ask its existing authorised administrator, such as Primary admin or Company admin, to download and pass on the file. US help distinguishes these roles from Accountant. Check another edition’s help for its exact role names.
Do not change payment details, subscription ownership, plan or user permissions for one file. The administrator can supply the document without sharing their login.

When the required month is missing from history
Before requesting a copy, match the payment to the account, edition and purchase channel. If a colleague bought through an app store, an empty direct-billing history does not establish that no document exists.
Even for direct billing, there is no single verified history window. US payment-history help states two years; US download help and UK billing help state six months. Check what your account actually shows and whether the period is available. These windows are not instructions for how long your business should retain documents.
If the document is missing from the right account with the right access, ask the authorised billing contact to locate an original copy. For direct billing, the account administrator can raise this with Intuit support; for accountant billing, start with the accountancy firm. Include:
- Business name and billed-account identifier, such as its login email, plus the known edition and purchase channel.
- Required period and known payment date, amount and currency. Mark details you do not know as unknown.
- Whether you lack billing access or can see the history but not the document.
- A request for the original subscription document and an agreed way to deliver the file.

Do not send passwords or full payment-card details. A request guarantees neither an older document nor a response date. Until the file arrives, record the missing period and request status; do not replace it with an invoice you issue yourself.
Match the file to the payment before handing it over
Open the original downloaded or supplied document and compare it with the payment you were investigating. This is a practical matching check, not an assessment of tax or legal validity.
- Business and account: does the document match the company and subscription you are collecting records for?
- Period and date: does it concern the required charge, rather than another month or payment?
- Amount and currency: do they match the transaction? Flag any difference for resolution.
- File: do you have the original document that the recipient can open, or only an account link or history entry?

If information is absent or you cannot match it, note what remains unclear. Give your accountant the original file and that explanation separately. Do not add details to the document yourself. The task is complete when the recipient can access the file for the right subscription and knows about any gaps.
What this guide is based on
This guide uses official Intuit documentation checked on 14 October 2026, not a trial in a customer account. The history route covers documented UK and US QuickBooks Online accounts; exact PDF export labels are verified for the US edition. For other editions, app-store purchases and the former French product, identify the appropriate billing contact first.
