Download Mistral organisation invoices in Admin Panel → Subscriptions → Billing, under Invoices. You need the Admin or Billing role. Before selecting a document, check that you are in the organisation whose records you are preparing.
Buying credits and using them are two different events
With prepaid credits for future service usage, distinguish two events. First you buy the credits; later you use them. Mistral may issue a monthly usage invoice with prepaid credits already applied. A zero amount due therefore does not, by itself, mean that no document was issued for that month.
Download the original PDF
- Check the Mistral organisation whose expenses you are looking for. If you work with several businesses, match its name to the business whose records you are preparing.
- Open Admin Panel → Subscriptions → Billing. These English labels are the navigation points used in Mistral’s documentation.
- Scroll to Invoices and select an invoice. Click it to download the PDF.
- Open the file and check what it actually contains. Compare the available supplier and customer details, period or date, currency and invoice number with the payment or usage period you are looking for.
This helps confirm you have the right document. Invoices from the same supplier can belong to different organisations, and a payment date need not match the period when the credits are later used. Keep the original PDF; add your explanation for the accountant in a separate message or accompanying list.
What does the invoice cover: buying credits or using them?
According to Mistral’s documentation, an invoice can include subscriptions, credit purchases, usage charges and seat allocations. These items can appear together. Do not automatically expect a separate PDF for each category.
| What you are looking for | What Mistral’s documentation says | What to check before handing it over |
|---|---|---|
| Credit purchase | Billed when credits are added, including through auto recharge. | Whether the document matches the purchase and known payment you are looking for. |
| Monthly usage, called pay-as-you-go | An invoice is issued at month end and prepaid credits are applied. The amount due is normally zero. | Which period and usage the document covers, and whether credits have actually been applied. |
| Subscription or seats | These charges can also appear on an invoice. | Whether the item you need appears on a document alongside other charges. |
Mistral says a small amount may remain payable for monthly usage if the balance has dipped slightly below zero. A zero amount due is therefore normal, but not guaranteed on every invoice. Use the actual PDF to decide what you have, rather than only checking whether a new payment appears on the statement.
Fictional example: payment came before the monthly usage invoice
A business buys credits during the month and then uses them. While preparing the records, you find the purchase document and a monthly invoice showing credits applied and zero left to pay.
Briefly describe both documents when sending them to your accountant so their purpose is clear. Label the first “credit purchase” and the second “monthly usage, credits applied, zero due” — only if that matches their contents. Do not label later usage as another credit purchase simply because another invoice exists.
This is a fictional example, not a customer account record. A particular organisation’s invoices may group items differently. The distinction helps explain the documents; it does not determine their accounting treatment.
If you cannot see the invoices
Mistral requires the Admin or Billing role to view and download organisation invoices. If you do not have either role, ask an existing administrator or the person responsible for billing for the original PDFs. Name the organisation and period; for a specific payment, include its known date, amount and currency.
Until the PDFs arrive, record which document is missing and whom you contacted. Neither zero left to pay nor a lack of permissions confirms that no invoice exists.
What to send your accountant
Send the original PDFs you found with a short list giving the organisation, period or date, document number and a brief description based on the contents. If the records are incomplete, state what you are still seeking and from whom. Your accountant can then identify a credit purchase, usage invoice or invoice with several types of charges without guessing from the filename alone.
You are done when the documents match the right organisation and the purchase or usage in question, and the recipient knows what is still missing. Discuss tax and accounting treatment with your accountant using the actual documents.
