Start with the payment you want to document: the period, amount and account through which the subscription was purchased. Searching a folder for “Jotform” can produce several kinds of files. A matching filename is a clue, not confirmation that the document concerns your subscription.

Go to subscription billing

Jotform’s instructions: Workspace → avatar → Settings → Billing → invoice download icon.

Use the account associated with the payment. If someone else manages it, ask them for the subscription invoice for the stated period. Do not request their password or change account permissions merely to retrieve one document.

Check the transaction the PDF describes

Read the document before forwarding it. Compare the supplier, recipient, description, period and amount with the payment you are investigating. Those fields tell you more than a logo or the application used to create the PDF.

Worked example: Studio creates a customer invoice for a project for Alfa through a form and also downloads its monthly Jotform bill. For the subscription payment you are investigating, the correct document names the service provider as supplier and Studio as customer; compare the period and amount as well. Hand over that invoice with its number. The PDF in which Studio charges Alfa belongs to another transaction, even if it was created in Jotform. It cannot replace the missing subscription bill.

If the billing document is missing, send a specific request:

Please send the Jotform subscription invoice for [period], matching [payment date and amount]. I need the provider’s billing document, rather than a PDF produced from one of our forms.

Save the verified document

Open the downloaded file and confirm that it is readable. Use a filename such as Jotform-period-invoice-number.pdf, replacing the fields with actual details. Keep the document unchanged. Check whether the same invoice already arrived by email before handing it over twice.

Send it to the agreed accounting location. Record the missing period separately if you cannot find the right bill; a form output should not fill that gap.
