Current spending and an issued document
You see an amount for running AWS services and want to give it to your accountant. First check the billing status. An estimate of current spending and an issued invoice are different records, even when displayed in the same area of administration.
AWS describes ongoing estimates for the current month and final costs for closed periods. According to the documentation, the summary does not become an invoice until the period closes and AWS calculates the final amounts.
Start with the account that actually receives billing
Ask an authorized billing administrator for documents for the specific AWS account or organization and period. Access to technical AWS services does not necessarily include billing access; the documentation requires explicit permissions for some pages.
If the organization transfers billing to another account, the relevant bill transfer account receives the documents. AWS recommends contacting its owner first in that situation. An empty history in an ordinary account does not necessarily mean that an invoice has not been issued.
Check Issued and download the available documents
The administrator opens Billing and Cost Management → Bills, selects the required period and checks the billing status. Issued is the status for issued documents. They then open Invoices and click the corresponding document’s Invoice ID to open and download the PDF.
Alongside the invoice, AWS offers other documents in provider-dependent sections, such as separate supporting documents for AWS EMEA SARL. Do not restrict your check to the first file listed. Ask the administrator for documents that actually belong to the account and purchase you are looking for.
Label an ongoing amount for what it really is
In a hypothetical example, Petr needs September documents. But he has left October selected in the console and sees an ongoing amount. Only after changing the period and checking the issued documents does he find the September invoice.
If the required period is still open, Petr records “awaiting issue, administrator checking”. If the team wants an interim overview, he explicitly provides it as an estimate. He does not turn it into his own PDF called “AWS invoice”, which would conceal its actual status.
Open the downloaded originals and check the customer, account, number, provider, currency and period. If there are several documents, list them in an overview. Explain their relationship in an accompanying message, rather than an altered version of the supplier’s file.
When the document is still missing after checking the period
Write to the administrator: “Please send the issued documents for company A’s AWS account for September. Check the correct period, Issued status and any account to which billing has been transferred.”
If an entry still cannot be located, assign a specific person to follow it up and arrange the next check. Give your accountant the available documents with an exact description of what is still awaiting issue or support. A technical usage overview then does not conceal a missing supplier document.
