Choose the workspace that was billed

ClickUp invoices belong to the Workspace you pay for. If you use several workspaces, first select the one your accountant needs a document for. Only its owner or administrator (admin) can manage billing and discuss it with Support.

If you do not have either role, ask the owner or administrator for the specific PDF. You can then give your accountant the file itself without sharing login details.

Download the invoice you need

If you are an owner or administrator, open the selected Workspace and go to the invoices:

  1. Click the Workspace avatar at the top left and select Settings.
  2. Open Billing in the All settings sidebar.
  3. Select the Invoices tab at the top.
  4. Open the invoice link in the Invoice column and download it, or use the download icon in the Amount column.

Open the downloaded PDF and check the invoice number, date, customer and amount to confirm it is the document your accountant needs. Attach the PDF itself to your message to the accountant.

Your accountant can receive PDFs outside the Workspace

To have future invoices sent directly to your accountant, agree on a delivery address with them first. The owner or administrator then enables Receive email notifications on the Invoices tab and uses Change email to replace their account’s default address with the accountant’s address. The accountant does not have to be a Workspace member.

The notification includes the invoice PDF and a View invoices button linking to Billing. To hand over a specific invoice, use the attachment: your accountant can open it in their own mailbox without your login details.

Set up notifications separately for each additional Workspace. Also check that your accountant’s mailbox accepts messages from external senders.

When the next invoice arrives, ask your accountant to confirm that they have opened the attached PDF. This checks that they have actually received the document.

Handle older invoices separately

For an older invoice, return to the invoice list and download the specific PDF. Do not rely on an address change to trigger a resend of past invoices: ClickUp’s help does not confirm that option.

If the document is missing from the list, the owner or administrator should ask ClickUp Support for a copy. ClickUp gives the same instructions for original paid-plan invoices after a move to Free Forever.

Contact ClickUp Support →

Include the Workspace name and the period in your request. If you have the invoice number or the date and amount of the corresponding payment, add them to help Support identify the document you need.

What to send the owner or administrator

Tell the owner or administrator which Workspace and period you need the PDF for, and where to send it. If you have agreed on direct delivery with your accountant, use the same message to request notification setup for future invoices.

Fill in the details in square brackets. Agree on the address for future notifications with your accountant first; if they do not want direct delivery, leave out the paragraph about future notifications.
