01
Prepare a small first import
Choose one business and a short period whose invoices you can recognise. Keep a few expected invoices or supplier names handy so you can compare the search results with what you already know. Historical documents consume the current allowance when first prepared.
02
Connect your mailbox
Creating an account does not connect your mailbox. In Mailboxes, choose IMAP and enter the server address, username and password or app password. We use TLS on port 993. After verifying the connection, select and confirm the folders containing invoices. Get these details from your mailbox provider; do not email them to support.
03
Review the business assignment
Start the search for the selected period. Compare the invoice recipient with the business you are preparing documents for. Confirm sorting rules only when the assignment is clear. Resolve uncertain documents yourself; a personal purchase is not automatically a business expense.
04
Review and send
Open the prepared PDFs and check that they are readable and belong to the selected period. Add documents from other sources separately. Check the recipient and documents in the delivery preview, then confirm sending. You can also download the PDFs for a different agreed handover method.
If an invoice is missing, check the mailbox, selected dates and whether the email contains a PDF attachment. Documents available only through supplier portals must be obtained separately.
