First identify who billed the payment

Look to Hootsuite for its subscription invoice. Find documents for advertising billed directly by an advertising platform with that platform. Hootsuite Ads Terms distinguish these payments from Hootsuite fees. Managing ads in one tool does not mean every payment has the same supplier.

Note the known supplier, amount, currency and date; compare them with an available receipt or document. If the supplier or purchasing account is unknown, ask whoever bought the subscription or advertising. A managed social profile's name does not identify the billing account.

The rest of this guide covers Hootsuite subscription invoices, not individual advertising platforms' download procedures. Track the two document types as separate requests if you need both.

Standard, Professional, Team and Advanced: print the invoice to PDF

Official Hootsuite help gives the following route for these plans. We retain its English menu labels; translated interface labels have not been verified.

  1. Sign in to the Hootsuite account holding the subscription.
  2. Account → Social accounts and teams → Plan and billing → Billing history.
  3. Compare the invoice period and amount with the payment you need.
  4. Print the invoice to PDF and open the saved file.

The documented procedure uses printing to PDF; we do not describe a direct download button. Before handoff, check that the file contains the invoice and its details are readable.

Paid-plan invoices include items and payments for the billing period. Monthly or annual subscriptions need not match a calendar month. The number of managed social profiles does not itself determine the number of invoices.

If billing is unavailable, ask the colleague who bought or manages the subscription for the specific document. This guide does not establish every Hootsuite role's permissions: managing social accounts alone does not guarantee billing access.

Business and Enterprise: ask your account manager

For Business and Enterprise, invoice requests and modifications go through your customer account manager. Contact them; the self-service route above applies to other plans.

Include the account, required period and known amount and currency. If a colleague handles the account manager relationship, send that colleague a specific invoice request. You do not need their password or account access.

Two payments or an unknown account: locate each document

Hootsuite's Billing FAQ says each account generates an invoice even when two accounts share payment details. This could explain two charges; it does not confirm that yours are correct or mistaken.

Before calling a charge a duplicate, match each payment to an account and document. If you cannot identify it or find the invoice, contact official Hootsuite support with the known account email and issue description. Date, amount and any invoice number can help locate an unknown billed account.

Do not include passwords or full card numbers. Mark unknown details as unknown: guessing could point support or your colleague to a different payment.

A request for a specific invoice

Use this template with the colleague handling the subscription. Fill in known details, mark unknowns or omit the field. For Business and Enterprise, ask them to forward the request to the account manager.

Select the text, copy it into an email and fill in the details in square brackets.

Give support the same known details and briefly explain where the search stopped. The template assumes neither billing access nor a guaranteed resolution time.

Separate the invoice you found from documents still missing

Before handoff, open the PDF and check supplier, account or customer, date and stated period, amount and currency against the request. This checks that you found the right document, not its accounting or tax suitability.

Hypothetical example: you need a Hootsuite subscription document and a document for advertising billed directly by a platform. Saving the annual Hootsuite invoice resolves only the subscription. Write: “Hootsuite subscription: invoice attached. Advertising: platform document still missing; the colleague handling advertising has been asked to find it.”

Finish by handing over the matching invoice or stating exactly which document is missing and whom you asked. Finding a file called Hootsuite does not close every payment associated with social media management.

Sources and scope

Based on public official documentation checked on 14 October 2026; not tested in a signed-in Hootsuite account. Document checks, the hypothetical example and request template are editorial recommendations.

The invoice guide explicitly directs both Business and Enterprise to an account manager, so both are retained here. Local tax rules, legal document requirements and advertising-platform procedures are outside scope.
