Updating the account and correcting an invoice are two separate tasks

A service subscription was held by company Alpha. In this fictional example, you change the billing profile to company Beta and download an invoice for the previous period. It still names Alpha. The new profile details confirm that you saved the change; they do not tell you whether an older invoice can also be changed.

Keep two checks separate. In settings, check the details for future documents. For an existing invoice, find out whether and how the supplier can address that particular document. Confirmation of a profile change is not confirmation of an invoice correction.

  • For future invoices: check the correct account or workspace, the saved billing details and the date of the change. When the next document is issued, check its details directly.
  • For the issued document: note the invoice number and issue date, identify the incorrect details and find the supplier's procedure for that document type.

A typo, a new address or a different company?

Do not simply ask the supplier to ‘correct the details’. A typo in the name of the same company, its new address and a change to a different customer company are different situations. Say which applies and set out the existing and requested details side by side.

If you are changing company Alpha to company Beta, explicitly describe it as a change of customer. Do not present it as a typo. The ability to correct a name or address does not establish that an issued invoice can be transferred to another company. Ask what solution is possible in your case.

Also check which account the document belongs to. With several subscriptions, you may have saved the new profile in a different workspace from the one that issued the invoice. Include the service and relevant account or workspace identifier in your request. Do not send passwords or access credentials.

A message that tells the supplier exactly what you need

For a typical supplier, you can start with this request. For OpenAI and Google, check the relevant procedure in the following sections first; the available solution depends on the account and document type.

Fill in only the details relevant to your case in the template below. If several documents are affected, list each number and date separately. Before sending, check that the message describes the actual change, especially if you are requesting a different customer company.

Attach the original document if the supplier needs it to handle the request. Save the reply and request reference with the invoice. Until the supplier confirms the outcome or issues the relevant document, record the request as open.

Fill in the square brackets and keep the options that describe the actual change.

OpenAI: take an older invoice to support separately

OpenAI's documentation says billing-detail changes apply to future invoices. For a previously issued invoice, contact support with the invoice number and ask for a review or possible reissue. Saving a new profile does not retrospectively rewrite the older document.

Use the help section for your account type. A ChatGPT Business workspace requires owner permissions; API billing depends on the organisation's billing permissions. Do not automatically apply this procedure to an app-store purchase. A support request is also not a promise that the invoice will be corrected.

See OpenAI's ‘Updating billing information, Tax ID, and VAT ID’ help article in the sources below for details.

Google: identify the document and payment setup first

For Google documents, knowing the service name is not enough. Before choosing a procedure, identify the billing country, payment setup, specific payments profile, document type and payment status. Your account language and this article's language do not determine the billing country.

Google Ads help distinguishes procedures by payment setup and country. Its section on statement changes says issued statements cannot be changed and updated details appear on future statements. That rule about statements is not a universal answer for all tax invoices.

Google payments centre help describes invoice change requests within the relevant invoiced payments profile and requires profile Admin permissions. Its dispute procedure applies to eligible open invoices that are unpaid or partly paid. Fully paid invoices cannot be disputed using that procedure. The documentation also distinguishes correct account details with an error only on the invoice from incorrect details in both places.

Choose the help for your payments profile and document type. Regenerating a document after a delivery-address change does not establish that the customer company can be changed. If your case falls outside the documented procedure, describe it to support. The same form may not address every Google invoice.

Give your accountant the document and the request status

Do not rewrite the original PDF to make it look like a corrected document from the supplier. Keep the original file, support reply and any newly issued document. For the new document, note which original invoice it replaces according to the supplier.

Summarise the request status in a short note for your accountant. A fictional example: ‘Subscription invoice INV-104 names company Alpha. We have asked for a review of changing the customer to Beta. Profile updated 28 September; request sent to the supplier 1 October, reference T-27. Outcome not yet confirmed. Original PDF attached.’ All names, numbers and dates in this example are fictional.

Update the note after the reply: the supplier issued a replacement, declined the request or asked for more information. Do not mark a sent request as a completed correction. Your accountant then receives the original document and a clear account of what remains unresolved; agree the accounting and tax assessment separately with them.

Finally, return to the second task: check the new details directly on the next issued document. This closes the future-billing settings check without losing track of an unresolved request about the older invoice.

Record the actual request status and the relationship between original and new documents.
