If documents sit in email without an overview, address collection. If they await approval by different people and transfer to accounting, test the whole business process.

Where their roles begin and end

Wflow's website lists receipt through mobile or email, AI extraction, approvals, accounting integrations and archiving. The connections between people and systems are particularly important when choosing.

Once access and the relevant features are enabled: HeyRup connects email, each company's rules and email recipients. It processes known documents according to settings and presents unclear ones to the owner for a decision. It has no approval workflow across multiple people, accounting integrations or long-term archive.

Comparison by task

The HeyRup column describes the planned scope once access and features are enabled. The other column follows the supplier’s public documentation; this is not an accuracy or speed benchmark. Check the scope of the specific offer and compatibility with your accounting system with the supplier. A feature appearing on a website does not itself confirm suitability for your process.

Example: the document is found but awaits purchase confirmation

A small company receives invoices for purchases by different colleagues. It already has the file, but the accountant does not know who ordered the purchase or where it belongs. Another attachment finder will not remove that wait. What is needed is a clearly responsible person and a process for approval and added context.

In that situation, testing a document workflow tool makes sense. For an individual who knows their purchases and only keeps looking for PDFs in email, better collection may instead be the first useful change. In both scenarios, check documents available only in supplier portals too.

What review means in HeyRup

Once access and the relevant features are enabled: Review in HeyRup concerns recognition and correct document assignment. It is not multilevel approval of whether a purchase is justified. Knowing the company and rules does not replace accounting judgement.

Once access and the relevant features are enabled: Distinguish saved settings, a confirmed delivery and its actual known result. Your accountant receives PDFs by email; receiving a message does not prove the documents have been entered in the accounts.

Try one complete document journey

Without an account, map one of your own invoices: its source, who confirms the purchase, who adds its purpose and where it goes for accounting. Example: you already have the file but not the purchaser’s name — identifying the responsible person comes before searching for the PDF again. Note manual steps, waiting and corrections. A signed-in service check is a separate later step requiring authorised access.

The comparison is prepared by HeyRup’s operator. Wflow is described from its official website, read on 8 October 2026; this is not a signed-in test or an accuracy or speed measurement. Verify the specific plan and compatibility with the supplier.

  • Who will find a missing document, and who will add the purchase purpose?
  • Who can see the document, and who decides the next step?
  • What happens with a rejection, correction or duplicate?
  • How will you verify that the target system received the correct data and attachment?
